Data collected and how it is used

Data collected by the forms

The field to join the beta collects:

• the email address provided;
• the page language and the date and time of the request;
• the confirmation of the address, with the date and time the link received is opened.

These details create a Coachstack account. The account’s privacy notice is accepted when a studio is created or when the account is linked to its coach, and from then on it describes the account’s data.

The contact form collects:

• the name and email address provided;
• the topic selected from the five available;
• the text of the message;
• the client range, if provided: it is the only optional field;
• the page language and the date and time of submission.

Visit statistics

The home page and the Excel template guide use Vercel Web Analytics to count visits and Vercel Speed Insights to measure page performance, both provided by Vercel, the platform that hosts Coachstack; the other pages do not load them. Neither uses cookies or identifies visitors. For each page viewed, the following is recorded: the page address, stripped of identifiers; the referrer; approximate country and city; operating system, browser and device type; connection speed and loading times. To count a visit only once, a code derived from the request is used and deleted after 24 hours. The site uses no pixels, tracking cookies or advertising tools. The only cookie that may be present stores the selected language. Inside the product, Coachstack measures in its own database how much each feature is used and how long page loads and saves take: the counts are weekly, expressed in time ranges and refer to the studio and the role (coach or client), and contain no names, email addresses, account or device identifiers, or IP addresses; since each studio has a single coach, the counts for the coach role concern the coach of that studio.

Where the data is stored

Contact form data is stored in a table of Coachstack’s database, hosted in the European Union. No role in the application can read it: the form can only write, and it can be consulted only from an internal console reserved to one person. The address left to join the beta is stored with the accounts, in the same database, and is also sent to Resend, the service that sends Coachstack’s mail, which uses it only to deliver the message with the link. Visit data is stored by Vercel and consulted by Coachstack only in aggregate form.

Purposes

The address left to join the beta is used to create the account and to send the message with the sign-in link. Contact form data is used to answer the messages received. There is no newsletter, and addresses are not sold or passed on to third parties.

Retention

An account whose link was never opened is deleted, with its address, after seven days by an automated daily procedure. An account that was opened but is not linked to a studio is kept until its deletion is requested, as described below. An account linked to a studio is kept as the account’s privacy notice describes. Contact form messages are kept for as long as needed to answer them, or until deletion is requested. The waiting-list requests collected before the beta opened have been deleted.

Deletion

Deletion can be requested through the contact form or at privacy@coachstack.pro. No reason is required and no further data is requested.

Training data

This page does not cover training data. For a coach’s clients, the controller of that data is the coach, to whom any related request should be addressed.
